Job description
Responsibilities:
• Provide dedicated administrative support to the Chief People Officer, ensuring daily activities and priorities are managed efficiently.
• Oversee a complex calendar, arrange meetings, and adjust schedules quickly to accommodate changing business needs.
• Create and organize briefing packages, partner communications, and other materials required for executive review.
• Prepare meeting agendas in advance and ensure all background documents are assembled and distributed on time.
• Monitor follow-up tasks arising from meetings and maintain visibility on outstanding action items and deadlines.
• Process and reconcile expense submissions promptly while keeping accurate records of related documentation.
• Coordinate travel arrangements and meeting logistics using appropriate business tools and platforms.
• Maintain an organized administrative workflow by managing correspondence, documents, and time-sensitive requests with attention to detail.
• Anticipate executive needs and provide dependable day-to-day support that strengthens overall time management and productivity.
Requirements
• Demonstrated experience supporting senior executives, ideally within a C-suite or executive office environment.
• Strong ability to manage calendars, coordinate meetings, and respond effectively to competing priorities.
• Proficiency with Microsoft Office applications, including preparing high-quality documents, presentations, and meeting materials.
• Hands-on experience with tools such as Cisco Webex Meetings, Concur, and CRM platforms.
• Background in travel coordination and expense reporting with a high degree of accuracy and timeliness.
• Excellent organizational skills with a consistent focus on deadlines, follow-through, and attention to detail.
• Ability to handle confidential information with discretion and maintain an effective executive presence.
