Job description
Key Responsibilities
Organizational Design & Workforce Reporting
Maintain and update Americas organizational charts, ensuring reporting lines and employee changes are accurately reflected.
Prepare and distribute weekly headcount reports, tracking active employees, joiners, leavers, and open positions.
Maintain accurate workforce data across HR systems, reports, and organizational records.
Support routine workforce reporting and data administration for HR and business stakeholders.
Employee Lifecycle — Joiners & Leavers (Full Cycle)
Own the end-to-end onboarding process for new joiners: offer logistics, pre-boarding, documentation, systems and access setup, first-day coordination, and new-hire orientation.
Manage the full offboarding process for leavers: resignation and termination processing, exit logistics, systems and access deactivation, exit interviews, and final documentation.
Coordinate across payroll, IT, benefits, and office management to ensure a seamless experience at every stage of the employee lifecycle.
Maintain accurate, complete employee records and personnel files throughout the lifecycle, in line with data-privacy requirements.
Benefits Administration (Enrollment Lead)
Serve as the lead for benefits enrollment across the Americas — including new-hire enrollment, annual open enrollment, and qualifying life-event changes.
Act as the primary point of contact for employee benefits questions, coordinating with brokers and carriers as needed.
Ensure timely and accurate processing of enrollments, changes, and terminations with benefits providers.
Support benefits communications and education so employees understand and make the most of their benefits.
Payroll & HR Systems
Support payroll processing by providing accurate and timely employee changes, new-hire and termination data, and benefits deductions.
Maintain and administer HR information systems (HRIS), safeguarding data integrity and proper record-keeping.
Identify opportunities to streamline, standardize, and automate processes across HR operations.
HR Operations & Compliance
Ensure HR processes comply with applicable employment laws and internal policies across the Americas.
Maintain HR documentation, process guides, and standard operating procedures.
Partner with the Senior HR Business Partner on employee relations logistics, policy administration, and HR projects.
Support HR audits and internal reporting requirements as needed.
Requirements
Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent experience).
5+ years of progressive HR experience, with a strong focus on HR operations, benefits, and workforce reporting.
Experience supporting a multi-country or Americas-wide employee population preferred.
Multi-state HR knowledge — a working understanding of employment laws and compliance requirements across multiple U.S. states.
Employee relations experience — comfortable handling sensitive, confidential employee matters with sound judgment, and partnering with the Senior HR Business Partner on ER cases and investigations.
Working knowledge of HRIS platforms and strong proficiency in Excel and data/dashboard tools.
HR certification (e.g., PHR, SPHR, or SHRM-CP) is an advantage.
