Job description

Essential Duties and Responsibilities include the following:

• Manage Card Room reservations, including data entry, confirmations, walk-in requests, and daily reservation sheets, ensuring accuracy and proper seating arrangements.
• Prepare and oversee daily check-in lists and procedures to support a smooth and efficient member arrival experience.
• Serve as a primary point of contact by handling incoming calls and member inquiries related to schedules, reservations, policies, and general card room information in a timely and professional manner.
• Maintain organized records and filing systems for reservations, attendance, guest participation, and member feedback; provide regular reporting to the Activities Director.
• Act as a Card Room liaison, assisting members and directing or escalating requests to the appropriate personnel, including the Card Room Operations Manager when necessary.
• Provide administrative and operational support for Duplicate Bridge, including managing reservation lists, coordinating with the Bridge Director, assisting with communications, preparing boards, and ensuring proper room setup with required equipment.
• Coordinate and communicate bridge schedules, updates, reminders, and special events to both members and the Bridge Director.
• Oversee and coordinate BEOs and food & beverage setup/breakdown for Duplicate Bridge and related events.
• Collaborate with the Activities Department on room assignments, scheduling changes, and event logistics.
• Ensure all Card Room events are properly prepared in advance of member arrival, including setup, materials, and overall readiness.• Lead daily shift meetings in the absence of the Card Room Manager or Captain, ensuring clear communication of tasks and expectations.
• Maintain consistent professional communication and demeanor, adhering to all club policies, procedures, and standards while representing Boca West Country Club at a high level.

Knowledge, Skills and Abilities:
• Strong organizational and administrative skills with attention to detail.
• Excellent member service and communication skills (phone, email, and in-person).
• Ability to multi-task and prioritize in a fast-paced environment.
• Proficiency with reservation systems, spreadsheets, and basic office software.
• Ability to work independently while collaborating effectively with team members.
• Professional, polished, and service-focused demeanor.
• Flexibility to work occasional evenings, weekends, and holidays as needed.
