Job Overview
Generate, maintain, and ensure accuracy of all data files and manual files for students enrolled in Job Corps in compliance with government, corporate, and management directives.
Responsibilities
Essential Job Duties:
Generate and maintain data, ensuring accuracy of the CIS system.
Retrieve and distribute reports from the CIS system on a daily/weekly/monthly basis.
File necessary paperwork in each student’s individual records, adhering to the student right to privacy policy.
Perform a variety of clerical duties concerning student records to ensure compliance; including typing correspondence, form letters, accountability forms, and order forms. Ensure the department is continually stocked with materials.
Act as liaison between staff, students, and/or outside agencies. Utilize customer service skills.
Provide orientation for new staff and students concerning student record functions. Receive and provide cross training to others in the department.
Ensure students receive pay allowances and allotments in a timely manner. Ensure monies are verified and posted for active and separated students. Maintain required logs and reports.
Make necessary travel arrangements for students. Work closely with the designated travel agency and necessary departments to ensure best travel arrangements. Ensure all unused or voided tickets are processed.
Ensure proper archiving procedures for separated student records.
Maintain accountability of students and property. Adhere to standard safety practices.
Cultivate and maintain a Center climate which is free of harassment, intimidation, and disrespect in order to provide a safe place for staff and students in which to work and learn.
Promote student attainment of career success standards through modeling appropriate skills, mentoring students, monitoring skill acquisition and intervening when inappropriate behavior is observed.
Work in a constant state of alertness and in a safe manner.
Perform other duties as assigned.

Ability to effectively communicate and present information to students, management and line staff, corporate and DOL personnel and public groups.

Dealing with a variety of people in a professional, courteous manner in diversified situations.
Adherence to established company safety policies and ability to work in a safe manner, using any required personal protective equipment (PPE) as may be required.
Compliance with company standard operating procedures and personnel policies and procedures.
Job Requirements
Mandatory:
High school diploma or general equivalency diploma (GED).
One year certificate from college or technical school; or six months experience in related field.
Ability to type 50+ words per minute.
Proficiency with Microsoft Word, Excel, and Outlook at an intermediate level.
Successfully pass pass background check and drug test required on the contract.
Current, valid driver’s license and an acceptable driving record.
Preferred:
Associate of Arts Degree in Business or Office Administration.
Working Conditions:
Work is typically performed in an office setting and at various locations on Center. Employee must regularly walk, climb stairs and visually observe Center environment. Employee must be able to run and respond to physical altercations or other emergencies rapidly for the safety of students, Center staff and property. Employee must be able to safely operate a passenger vehicle and supervise students simultaneously.
Physical Requirements:
This position requires the employee to be able to frequently required to sit, stand, walk and talk or hear. The employee is occasionally required to use hands to finger, handle, or feel objects, tools, or controls; and reach with hands and arms. Work somewhat close to other people, such as when sharing office space. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.
