Job description

POSITION OVERVIEW: The Over the Counter (OTC) Service Aide manages inventory replenishment, stock control, and unit distribution of OTC medications and related supplies using the PeopleSoft system. This role ensures clinical units receive timely, accurate stock while maintaining high standards of organization, regulatory compliance, and customer service.

ESSENTIAL FUNCTIONS: (List in order of importance to role and time spent on function)

Receiving and Inventory Control
Stock Verification: Unpack, inspect, and verify incoming shipments against purchase orders; immediately log and report discrepancies, damaged goods, or backorders to the Manager.
System Logging: Utilize PeopleSoft to accurately log received inventory, update stock levels, and track items flowing into and out of storage spaces.
Par Level Monitoring: Monitor inventory quantities against established par thresholds; notify management to reorder items as necessary to prevent stockouts.
Expiration & Quality Management: Perform regular stock rotations using First-In, First-Out standards to minimize waste and monitor expiration dates.
secure Storage: Transport and store OTC medications efficiently and in compliance with institutional guidelines and safety standards.

Distribution and Fulfillment
Par Fulfillment: Pick, pack, and prepare OTC supplies and medications to fulfill par stock requirements for clinical units.

Unit Delivery: Transport and restock OTC items to designated units in a timely and efficient manner.

Order Processing: Process and fulfill ad-hoc or urgent OTC supply requests from requesting units.

Stockroom Maintenance: Maintain a clean, organized, secure, and well-labeled supply room environment to facilitate smooth operations.

Communication and Customer Service
Issue Escalation: Proactively communicate supply shortages, delivery delays, or system discrepancies to the Manager in a timely manner.
Interdepartmental Support: Provide prompt, person-centered customer service when interacting with nursing staff, clinical personnel, and department managers.
Process Improvement: Provide feedback to management on stock usage trends to assist with setting accurate par level

Minimum Qualifications
Ability to read and write English and to understand and carry out simple instructions.
