Position Overview:
An established nonprofit medical referral organization is seeking a full-time, highly organized, proactive, and detail-oriented Team Management & Project Coordinator to oversee the daily operations of its data maintenance team and support on-site execution of key medical information initiatives.
This role is ideal for a strong coordinator who enjoys building structure, managing workflows, and ensuring projects are completed accurately and on schedule. The Team Management & Project Coordinator will serve as a central point of accountability for project planning, team productivity, quality oversight, documentation, and operational execution.
Responsibilities:
· Manage and coordinate day-to-day activities of the data maintenance team
· Assign, prioritize, and monitor work to ensure projects progress according to timelines and milestones
· Translate organizational goals into actionable work plans, responsibilities, and deliverables
· Track productivity, quality metrics, deadlines, and project risks
· Provide coaching, guidance, accountability, and ongoing support to team members
· Maintain clear documentation of workflows, procedures, decisions, responsibilities, and outstanding issues
· Coordinate communication among leadership, subject matter experts, operational staff, and technical contributors
· Conduct quality reviews and identify process improvement opportunities
· Create project reports, dashboards, status updates, and performance summaries
· Utilize spreadsheets, productivity tools, and AI technologies responsibly to improve efficiency and execution
Qualifications:
· Bachelor’s degree required
· Experience managing, supervising, or coordinating employees and team workflows
· Exceptional project management, planning, and organizational abilities
· Strong ability to coordinate multiple priorities, contributors, and deadlines simultaneously
· Excellent written communication, documentation, and follow-up skills
· Experience monitoring performance, productivity, quality, and project outcomes
· Strong critical-thinking and problem-solving abilities
· Advanced proficiency with Excel, Google Sheets, and workplace productivity systems
· Ability to thrive in an evolving environment where processes and priorities continue to develop
· Experience using AI tools responsibly with appropriate human oversight
Preferred Qualifications:
· Experience coordinating complex projects involving leadership, operations teams, technical contributors, and subject matter experts
· Experience with CRM systems, Salesforce, databases, or structured information environments
· Familiarity with data-quality workflows, auditing, process improvement, or quality assurance initiatives
· Experience creating SOPs, workflow documentation, project plans, dashboards, and management reports
· Exposure to healthcare, medical terminology, taxonomy, classification systems, or knowledge-management projects
· Sufficient technical literacy to collaborate effectively with database, reporting, or software-related teams
Compensation & Benefits:
· $70,000-$85,000 (based on experience)
