Executive Administrative Coordinator Location: Tri-State Area (Hybrid | Travel Between Offices Required) Schedule: Full-Time Compensation: $90Kâ$120K DOE About the Role A growing healthcare organization is seeking a highly organized Executive Administrative Coordinator to provide dedicated administrative and operational support to one or two physicians. This is a high-level administrative position for someone who can keep busy professionals organized, ensure priorities are executed efficiently, and oversee the day-to-day coordination of their non-clinical responsibilities. The ideal candidate is proactive, detail-oriented, and able to anticipate needs, solve problems independently, and manage multiple priorities in a fast-paced environment. Responsibilities Serve as the primary administrative point of contact for assigned physicians. Manage complex calendars, meetings, travel arrangements, and scheduling. Coordinate communication between physicians, office staff, leadership, and external partners. Assist with operational projects, follow-up items, and special initiatives. Track priorities, deadlines, and outstanding action items to ensure timely completion. Prepare reports, presentations, correspondence, and other business documents. Coordinate meetings, agendas, and follow-up on key deliverables. Help streamline administrative workflows and improve day-to-day efficiency. Handle confidential information with professionalism and discretion. Travel between office locations throughout the Tri-State area as needed. Qualifications 5+ years of executive administrative, executive assistant, or high-level office management experience. Exceptional organizational and time-management skills. Strong written and verbal communication skills. Ability to manage multiple priorities with minimal supervision. Highly proficient in Microsoft Office and standard business applications. Professional, resourceful, and comfortable working in a fast-paced environment. Healthcare or medical office experience is a plus but not required.
