Job description
The Institute for Jewish Spirituality (IJS) has since 1999 helped people navigate a turbulent world by learning to slow down, reconnect with themselves and find a greater sense of purpose, grounded in mindfulness and the deep wisdom of Jewish tradition. The Administrative Coordinator is a foundational role driving the essential administrative, financial and fundraising workflows that keep the organization moving forward. This entry-level position offers hands-on exposure to development operations, basic bookkeeping and executive administration. It reports to the Senior Director of Finance and Administration and the Chief Development Officer. Responsibilities: • Collect, review, code and route incoming invoices for approval in BILL; maintain vendor records and tax forms • Process and record donor contributions in DonorPerfect from mail, digital lockboxes, DAF and ACH transfers, stocks and grants • Facilitate monthly reconciliation with the finance team and manage donor acknowledgments • Maintain database integrity, extract mailing lists and reports, issue pledge invoices and build digital contribution forms • Oversee office operations, serve as liaison to the management company and distribute physical mail • Manage calendar schedules for the senior leadership team and board members • Provide backup technical support for participants during online Zoom courses Qualifications: • College degree or commensurate professional experience • Demonstrated comfort working with numbers, spreadsheets and data entry; impeccable attention to detail • Experience with or strong interest in financial software (BILL) and donor databases (DonorPerfect) • Excellent written and verbal communication skills; an interest in Jewish spirituality Salary: $48,000-$52,000. Benefits: Four weeks paid vacation, three weeks sick time, four personal days, medical insurance with an employer contribution, 401(k) match, and free participation in most IJS programs. Hybrid, 4 days a week in the New York City office.
